Prop Firm KYC: The Verification Step That Delays Payouts
Prop firm KYC delays payouts because firms check at different moments. What Topstep, FTMO and FundedNext require, in their own words.
Why your payout is sitting in "verification" and nobody will tell you why
The fear underneath the question is simple: does this firm actually pay, or is verification the polite excuse. That fear is reasonable, and it has an on-record precedent we will get to. But the ordinary version of this problem is procedural, not malicious. If that fear is the reason you are reading this at all, our verification guide on how to know if a prop firm pays covers the broader question directly.
Two things create the stall. First, timing: you tried to clear verification at the moment you needed the money, and your firm's flow does not open until a different moment. Second, documents: the specific physical thing you photographed is not what the firm accepts.
If you understand where your firm sits on those two, the delay stops being a mystery. The rest of this piece maps it firm by firm. KYC sits inside the withdrawal request, so the two are worth mapping together.
When each firm actually checks your identity (and why the timing differs)
Topstep: verification is triggered after your first purchase, and further purchases stop until it clears
Topstep's help center states that identity verification (IDV) is required after a trader's first purchase, and that no additional purchases, meaning new accounts, resets and similar, will be processed until IDV is complete (Topstep Help Center, retrieved 2026-07-30).
Read what that actually implies. The check is not gated to your first payout. It sits early, near the top of the account lifecycle, and its enforcement lever is your ability to buy again. A trader who blows an evaluation and wants an immediate reset discovers the block there, weeks before any profit exists. If you are still mapping the whole path from sign-up to funding, our timeline of how long it takes to get funded at a prop firm puts this step in that sequence.
FTMO: identity verification only unlocks after the objectives are met and results reviewed
FTMO's FAQ is explicit in the other direction: for FTMO Challenge: 1-Step, the identity verification process (KYC/KYB, where KYB is the equivalent check on a business entity) becomes available after all applicable trading objectives are met and the evaluation results are reviewed (FTMO x OANDA FAQ, retrieved 2026-07-30).
The consequence is the one traders get wrong most often. You cannot pre-clear it. If you finish an evaluation on a Friday and expect to have identity verification already behind you, there was no door to walk through earlier. The clock on document gathering starts after you pass, not before.
FundedNext: verification is prompted once you pass, with a stated ~48-hour window
FundedNext's help center states that once you pass the challenge you are prompted to verify your identity in the Verification Center, that completing KYC is mandatory for account activation, and that the process takes about 48 hours, with additional address verification required in some cases (FundedNext Help Center, retrieved 2026-07-30). That last clause is the one that stretches the window, and we come back to it below.
What the divergence means for you: you cannot pre-clear everywhere
"Before your second purchase" and "after you pass" are two different moments in an account's life, and the firm you are trading with picked one without asking you. There is no shared industry sequence to memorize, so the only reliable move is to read your specific firm's help page before you need the money, and to have documents ready regardless of when the door opens. If you are still learning how evaluation lifecycles work in general, start with our beginner guide to what a prop firm challenge is.
The documents firms accept, and the exact reasons they get rejected
Government-issued photo ID: what counts as valid
Topstep requires a valid, unexpired, original physical government-issued ID: a passport, driver's license, or national ID card (Topstep Help Center, retrieved 2026-07-30). FundedNext names a government-issued ID card, passport, or residence permit, with national ID, passport or driving license for US traders (FundedNext Help Center, retrieved 2026-07-30).
Note the overlap and the gap. Passport and national ID appear on both lists. Residence permit appears on FundedNext's. Assuming your document is acceptable because another firm took it is how the second submission gets rejected too.
Why a photo of a screen or a photocopy fails
Topstep explicitly rejects photocopies, images of an ID displayed on another screen, and IDs with sticky notes or coverings (Topstep Help Center, retrieved 2026-07-30).
This is a self-inflicted rejection with a predictable cause. The document is stored as a PDF on your laptop, so you photograph the laptop. Automated verification systems are built to detect exactly that, because it is what document fraud looks like. Topstep's own requirement specifies "original physical" (Topstep Help Center, retrieved 2026-07-30). If the object is not in your hand, you cannot submit it.
Expired documents and the proof-of-address request
FundedNext states that KYC verification cannot be completed if you provide expired documents (FundedNext Help Center, retrieved 2026-07-30). Topstep's requirement is worded the same way: unexpired (Topstep Help Center, retrieved 2026-07-30).
Proof of address is the secondary request that adds days. FundedNext describes it as a utility bill or bank statement dated within the last three months, and says the verification window runs longer when it is requested (FundedNext Help Center, retrieved 2026-07-30). A statement from four months ago does not qualify, and if you receive everything by email you may need to request a fresh document from your provider, which is its own wait.
US traders: the W-9 / W-8BEN tax form is a separate step from KYC
A tax form is not an identity check: one tells a firm who you are, the other tells it how to report what it pays you. None of the three help pages cited here documents where that form sits in the flow, so we are not going to invent a sequence for it. Check your own firm's payout page for the requirement and treat it as a second task, not a byproduct of clearing verification.
The comparison table: what three firms require, when, and what happens if you fail
Where a cell reads "Not published," the firm does not state that figure on the page cited. Nothing here is estimated.
| Firm | When identity verification is triggered | Documents named as accepted | Stated processing window | Stated consequence of failing |
|---|---|---|---|---|
| Topstep | After a trader's first purchase; no additional purchases, new accounts or resets, are processed until IDV is complete (Topstep Help Center, retrieved 2026-07-30) | Valid, unexpired original physical government-issued ID: passport, driver's license, or national ID card (Topstep Help Center, retrieved 2026-07-30) | Not published | Further purchases, including resets, blocked until complete (Topstep Help Center, retrieved 2026-07-30) |
| FTMO | Becomes available after all applicable trading objectives are met and the evaluation results are reviewed (FTMO x OANDA FAQ, retrieved 2026-07-30) | Not published on the referenced page | Not published | Not published on the referenced page |
| FundedNext | Prompted in the Verification Center once you pass the challenge; described as mandatory for account activation (FundedNext Help Center, retrieved 2026-07-30) | Government-issued national ID card, passport, or residence permit; national ID, passport or driving license for US traders (FundedNext Help Center, retrieved 2026-07-30) | About 48 hours; additional address verification may be required in some cases (FundedNext Help Center, retrieved 2026-07-30) | Not published as a single outcome; KYC is stated to be mandatory for account activation (FundedNext Help Center, retrieved 2026-07-30) |
Those two right-hand columns describe different outcomes and should not be read as one. "Your next purchase is blocked" and "your account cannot be activated" are not the same consequence, and FundedNext's wording is the one with more at stake. If you are comparing firms on more than this one step, our FundedNext vs ITAfx comparison lays out the wider process differences.
What failing verification actually costs you
FundedNext ties account activation itself to KYC, not just the withdrawal
That is worth sitting with. Most traders model KYC failure as a delay: resubmit, wait, get paid late. FundedNext's help center calls completing KYC mandatory for account activation (FundedNext Help Center, retrieved 2026-07-30), which puts the account, not one payment, on the line. Which is precisely why the mismatch between your document and your account details, covered in the checklist below, is not a clerical detail. It sits alongside the other reasons payouts get held, which our piece on why prop firms deny payouts catalogues in full.
The one dated case on record: The Funded Trader, March 2024
During a March 2024 live broadcast, The Funded Trader CEO Angelo Ciaramello said: "The payments were rejected due to KYC, due to any type of fraud, credit card fraud and any prohibited trading strategies." He presented a graphic indicating that in the first two months of 2024 the firm paid out over $17 million to clients while blocking withdrawals of just over $2 million, as reported by Finance Magnates in an article dated 28 March 2024 that also reported the firm had temporarily paused all operations and suspended payouts pending a self-imposed internal audit (Finance Magnates, retrieved 2026-07-30). Status as of retrieval on 2026-07-30: that report remains the dated record of those statements, and nothing in it should be read as describing the firm's situation today.
Report that accurately and no further. KYC was one item on a list that also included fraud and prohibited strategies (Finance Magnates, retrieved 2026-07-30). The account does not establish that KYC was the main cause of the denials, and nothing in the coverage supports assuming bad faith. What it does establish is that "verification" is a real category in which real payouts get held, which is the reason to treat your document readiness as part of your trading plan rather than paperwork you handle later. If the "will they actually pay" fear is where you are stuck, treat document readiness as part of the trading plan rather than paperwork you handle later.
A pre-payout checklist that removes the delay
Every item here traces to a documented requirement or rejection reason above.
- Get the physical document in hand before you need it. Topstep requires an original physical government-issued ID and rejects photocopies and photos of a screen (Topstep Help Center, retrieved 2026-07-30). If your passport is in a drawer in another city, that is a shipping delay disguised as a verification delay.
- Check the expiry date today. Both FundedNext and Topstep require unexpired documents, and FundedNext states verification cannot be completed with an expired one (FundedNext Help Center, retrieved 2026-07-30; Topstep Help Center, retrieved 2026-07-30). Renewal takes weeks in most countries; the evaluation does not wait for it.
- Match your account name, country and document exactly. Register with the name printed on the ID, not a shortened version of it.
- Gather proof of address before it is requested. FundedNext describes a utility bill or bank statement dated within the last three months, and says the window runs longer when it is needed (FundedNext Help Center, retrieved 2026-07-30). Download one now, while it is still in date.
- Handle the tax form as its own task. Clearing identity verification does not clear this.
- Know your firm's trigger point and stop guessing. Topstep checks after the first purchase (Topstep Help Center, retrieved 2026-07-30). FTMO opens the flow only after objectives are met and results reviewed (FTMO x OANDA FAQ, retrieved 2026-07-30). Read your own firm's help page and write the moment down.
Most of the delays above are avoidable, which puts them in the same family as the other errors we catalogued in common mistakes traders make in prop firm challenges. ITAfx's evaluation accounts run on simulated capital, and the habit that protects you at any firm is the same one: check the claim against the primary source before you need the money.
Frequently asked questions
How long does prop firm KYC take?
It depends on the firm. Of the three help pages checked here, only one publishes a figure: FundedNext's help center states the process takes about 48 hours, with additional address verification required in some cases (FundedNext Help Center, retrieved 2026-07-30). Topstep and the FTMO x OANDA FAQ do not state a window on the pages cited.
Can I complete KYC before I pass the challenge?
Not everywhere, and the firms genuinely differ. FTMO's FAQ says identity verification becomes available only after all applicable trading objectives are met and the evaluation results are reviewed (FTMO x OANDA FAQ, retrieved 2026-07-30). Topstep, by contrast, requires it after your first purchase and blocks further purchases until it clears (Topstep Help Center, retrieved 2026-07-30).
What happens if my ID expires mid-evaluation?
You will not be able to complete verification with it. FundedNext states plainly that KYC verification cannot be completed if you provide expired documents (FundedNext Help Center, retrieved 2026-07-30), and Topstep's requirement specifies a valid, unexpired original physical government-issued ID (Topstep Help Center, retrieved 2026-07-30). Check the expiry date at the start of an evaluation, not at payout.
Is the tax form part of KYC?
No. Identity verification and a tax form answer two different questions, and clearing one does not clear the other. None of the help pages cited here documents how a given firm sequences the W-9 or W-8BEN, so check your own firm's payout page rather than assuming verification covered it.
Does failing KYC mean I lose my account?
It depends on the firm and the wording differs. Topstep states that further purchases, including resets, are not processed until identity verification is complete (Topstep Help Center, retrieved 2026-07-30). FundedNext frames more at stake: its help center calls completing KYC mandatory for account activation, not merely a step before a withdrawal (FundedNext Help Center, retrieved 2026-07-30).
Frequently Asked Questions
How long does prop firm KYC take?

Check the expiry date at the start of an evaluation, not at payout.
Is the tax form part of KYC?
No, at least not at Topstep. Clearing identity verification leaves this step outstanding; the tax form travels with the payout request as a separate task.
Does failing KYC mean I lose my account?
It depends on the firm and the wording differs. Topstep states that further purchases, including resets, are not processed until identity verification is complete (Topstep Help Center, retrieved 2026-07-30). FundedNext frames the harsher consequence: its help center describes KYC failure as rejecting the account application itself, not just delaying a withdrawal (FundedNext Help Center, retrieved 2026-07-30).
